BandCalendar vs Band Pencil vs Back On Stage: Which Band Software Fits a Working Band?

A head-to-head comparison of BandCalendar with its two closest vertical rivals, Band Pencil (UK) and Back On Stage (Canada): public pricing checked on 18 October 2026, what each does best, and which suits your market and the way you get paid.

October 18, 2026 · BandCalendar

The short answer

Choose Back On Stage if your biggest weekly cost is finding and confirming musicians. Choose Band Pencil if your biggest problem is turning online enquiries into paid bookings with a client portal. Choose BandCalendar if you have a fairly stable group and want one affordable system for clients, quotes, contracts, lineups, setlists, fees, vehicles and equipment, and you already have a way to invoice and get paid.

That is the real dividing line. The three products overlap a lot, but they are built around different pains:

  • Band Pencil (built in the UK) is built around the sales pipeline: enquiry form, contract, invoice, client portal, online payment.
  • Back On Stage (Vancouver, Canada) is built around automation: it contacts your musicians in order or all at once, then pays them.
  • BandCalendar is built around the whole engagement record: one place that connects the client, the paperwork, the people, the music, the gear and the money.

Editorial disclosure: BandCalendar publishes this article, so it is not an independent review. There are no paid placements. We read the official pages of Band Pencil and Back On Stage on 18 October 2026 and say where they are stronger than we are. User numbers and gig totals are vendor claims, not our verification. Why these two rivals

Band management software spans app-first setlist tools, agency booking systems and tour-routing platforms. Band Pencil and Back On Stage are the closest to BandCalendar because they serve the same customer: a band, wedding act or function band that sells engagements to private and corporate clients, fills the lineup with other musicians and splits the fee afterwards.

Their home markets also make them a useful pair. Band Pencil is British and prices in US dollars with a GBP option; Back On Stage is Canadian and bills in Canadian dollars to Canadian customers and US dollars everywhere else. For the other five tools we reviewed (BandHelper, Gigwell, Stagent, SystemOne), see 7 best band management software tools for working musicians in 2026. Here we go deeper on two.

What the price gap means

On annual billing BandCalendar Pro costs a little over a sixth of Band Pencil Premium or Back On Stage Pro in nominal terms (83 euros against 480 dollars). Card conversion fees and local tax narrow the gap only slightly.

For a band doing a few dozen gigs a year, the difference is noticeable. For an act whose manager spends several hours a week phoning around for deps, an automated booking tool could pay for itself. The decision is not "cheap or expensive" but "which task is costing me the most time".

BandCalendar vs Band Pencil

Where Band Pencil is stronger

  • From enquiry to paid booking. A lead capture form for your site, enquiry tracking, a client portal with event details, files, contracts and invoices, and online payment form one continuous path.
  • Online payments. Premium includes Band Pencil Pay, so clients pay from the portal and you see what is outstanding.
  • Member portal. Performers and crew see availability, gig details, invoices and contracts without a paid seat. It is free and unlimited.
  • Ultimate plan (from $99 a month): automatic booking of members, REST API, event automations, performer contracts and a branded client portal.
  • Maturity. The site claims more than 2,500 active users and over 500,000 gigs managed. Those are vendor figures, but they point to long real-world use.

Where BandCalendar fits better

  • Cost. Pro at €8.90 a month against $49 on monthly Premium.
  • Bigger team. Premium includes three users and cannot add more. BandCalendar Pro supports up to ten team members, with roles and permissions that can be limited to the lineups or gigs each person plays.
  • The band's internal life. Lineups, projects, substitutes, rehearsals, Kanban tasks, setlists, vehicles, equipment and musician fees are central rather than add-ons.
  • A free plan with no clock. You can run BandCalendar Free for as long as you need to decide, not for fourteen days.

Verdict. If your problem is converting online enquiries into booked, paid events with a guided process, Band Pencil is the stronger rival. If your problem is keeping the work of delivering gigs organised at a price a small band can carry, BandCalendar is more proportionate.

BandCalendar vs Back On Stage

Where Back On Stage is stronger

  • Auto-Book and Shotgun Book. You set a call order and the system contacts musicians by email or text until every role is filled; Shotgun Book contacts everyone at once. Texting is pay-per-use, from about $0.025 a message.
  • The money loop. Invoices generated from bookings, client payments through PayPal (fees apply), PayPal payouts to musicians, and scheduled Auto-Pay from the Pro plan. You can also label off-platform payments such as Zelle or Cash App.
  • Branded client portal where clients sign contracts, answer questionnaires and pay.
  • Lead forms with automatic follow-up, team chat, and sheet music routed to each musician by role.
  • Trial and guarantee. Thirty days with every feature, plus a 90-day money-back guarantee.

Where BandCalendar fits better

  • A much lower entry price and no payment-processing fees, because BandCalendar does not handle the collection itself.
  • Fees that match how many bands actually pay. PayPal payouts suit North American gigs. If your musicians are paid by bank transfer, cheque or cash, BandCalendar records fee items, expenses, withholding, advances, balances and what each person is still owed, without moving money.
  • Availability on the channels musicians already use. For rehearsals BandCalendar prepares a poll you post in your existing WhatsApp group and leaves the replies there. It is less automatic than Auto-Book, but nobody has to learn another app.
  • Your data stays portable. The owner can restore a backup, and a full ZIP archive with documents, photos and emails opens without BandCalendar.

Verdict. If you spend hours each week staffing gigs and chasing payments, Back On Stage can repay its price. If your lineup is stable and you collect deposits your own way, you pay for automation you will not use, and BandCalendar is the better value.

Your market changes the answer

These tools are not equally at home everywhere. Check the following before you commit, whichever you prefer.

  • Currency and billing. Band Pencil and Back On Stage price in dollars (Back On Stage in Canadian dollars for Canadian customers; Band Pencil also offers a GBP toggle). BandCalendar prices in euros. In each case your card issuer's conversion applies when you pay in a foreign currency.
  • Currency inside the tool. BandCalendar lets each team set its own currency, including US, Canadian and Australian dollars and the British pound, and dates and times follow the time zone of each event.
  • How clients expect to pay. In North America and the UK many clients expect to pay a deposit by card from a link. Back On Stage and Band Pencil handle this; BandCalendar does not.
  • Taxes and paperwork. BandCalendar records VAT and withholding on quotes and fees, and the labels on quotes and contracts are customisable. That is record keeping, not tax compliance. For payroll, contractor status, VAT, GST/HST, sales tax or union rules, ask a qualified adviser in your country.
  • Language of documents. BandCalendar's app, site and documents are available in English (and Italian). If your clients are elsewhere in Europe, check how contracts and emails read in each product's trial before you choose.

What BandCalendar does not do

To be plain about it, some things BandCalendar does not do today, and that you can find in one or both rivals:

  • It does not collect payments from clients online. It records deposits and balances, but the money reaches you the way it does now.
  • It does not issue invoices. It is not an invoicing tool.
  • It does not call musicians for you. You assign the confirmed lineup and substitutes; availability is asked on your usual channel.
  • It is not a native app. It is an installable web app (PWA). The live app needs a connection, while saved documents can be opened offline.
  • It is younger. Fewer years in the market and fewer users than either rival.

If one of these is your bottleneck, start with Band Pencil or Back On Stage.

A one-hour test before you decide

Do not decide from the table. Take a real gig and run it through two finalists:

  1. enter the client and the enquiry;
  2. build the quote and turn it into a contract;
  3. assign the lineup with a substitute;
  4. prepare and share the setlist;
  5. record a deposit and the balance;
  6. work out what each musician is owed.

Write down every step you had to do outside the tool. Those steps are the real cost of that product for you. To define what you need first, read what band management software should include, and for the money side, how to manage band payments.

Frequently asked questions

Is BandCalendar better than Band Pencil?

It depends on what you need. Band Pencil is more mature on the sales side: an enquiry form, a client portal, invoices and online payments. BandCalendar costs far less (Pro at €8.90 a month against $49 on Band Pencil's monthly Premium plan) and covers more of the band's internal work: lineups, projects, setlists, musician fees, vehicles and equipment.

Is BandCalendar better than Back On Stage?

Not at everything. Back On Stage is stronger at automation: Auto-Book and Shotgun Book contact musicians for you, and it handles invoices, online payments and PayPal payouts to musicians. BandCalendar does not automate calls to musicians or collect payments online for you, but it costs a fraction and keeps the whole engagement record in one place.

Which one is best for a wedding band in the US or Canada?

If your clients expect to pay by card through a portal and you spend hours booking musicians for each date, Back On Stage (Canada) or Band Pencil (UK) is the more natural fit. If you have a stable lineup, take deposits by bank transfer or cheque and want one affordable system for the rest of the work, BandCalendar is the better value.

Can I try all three for free?

Yes, in different ways. BandCalendar has a Free plan at €0 with usage limits and no expiry. Band Pencil gives a 14-day trial with no card, with the Ultimate feature set. Back On Stage gives a 30-day trial with all features and a 90-day money-back guarantee.

Does BandCalendar take online payments from clients or issue invoices?

No. BandCalendar records quotes, contracts, payment schedules, deposits, balances and client receipts, but it is not an invoicing tool and does not process client payments. PayPal and Stripe are used only to pay for a BandCalendar subscription. You keep your existing invoicing or accounting software.

Can BandCalendar work in dollars, pounds or Canadian dollars?

Each team chooses its own currency from a list that includes US, Canadian and Australian dollars and the British pound, and dates and times follow the time zone of each event. BandCalendar's own subscription is priced in euros, so card conversion and local taxes can affect what you pay.
