BandCalendar vs Band Pencil, Back On Stage and BandHelper

A comparison with the vertical tools most often named by working bands: Band Pencil, Back On Stage and BandHelper. Public prices checked in October 2026, where each product is stronger, and when BandCalendar is the more proportionate choice.

Definition

When do you need vertical band software instead of a generic tool?

Band management software should connect clients, PDF quotes, click-to-accept contracts, lineups, setlists, Finances and musician fees. Band Pencil is more mature on booking and the client portal; Back On Stage automates musician call-outs; BandHelper is strongest on repertoire and the stage. BandCalendar costs a fraction, ships in English or Italian with euro pricing, and keeps the band's internal work together without issuing XML invoices or collecting online payments.

When the alternative is enough

  • You turn many website enquiries into paid bookings with a client portal and invoices (Band Pencil)
  • Every gig means calling several deps until each role is filled (Back On Stage)
  • The main problem is repertoire, setlists, lyrics and on-stage material (BandHelper)
  • You mostly work with dollar or sterling clients and an English-first interface is not a barrier

When BandCalendar fits better

  • You run weddings, private events or venue gigs with a contained budget
  • You need lineups, deps, setlists, vehicles, equipment and fees in one workflow
  • Musicians are paid by transfer or cash, often with withholding, not through PayPal payouts
  • You want an open-ended Free plan to test a real booking before you pay
