Acceptance of terms
By accessing or using BandCalendar, you declare that you have read, understood and fully accepted these Terms of Service and our Privacy Policy.
If you use BandCalendar on behalf of an organisation (band, ensemble, agency), you declare that you have the authority to bind that organisation to these terms.
If you do not accept these terms, you are not authorised to use the service.
Service description
BandCalendar is a SaaS (Software as a Service) platform aimed at musicians, bands and entertainment professionals who manage concerts, private events, weddings, corporate events and other live music projects.
The service includes, among other features:
- Event calendar and date management
- Creation and sending of quotes and contracts
- Collaborator, formation and project management
- Fee and payment tracking
- Storage of documents, photos and multimedia files
- Repertoire, setlist and song management
- Vehicle and equipment management
- Google Calendar integration (optional)
BandCalendar reserves the right to add, modify or remove features at any time, in compliance with section 12.
Registration and account
3.1 Registration requirements
To register you must:
- Be at least 14 years old (for users aged 14–17, subscribing to paid plans requires parental authorisation)
- Provide a valid and truthful email address
- Choose a secure password
- Accept these Terms of Service and the Privacy Policy
3.2 Account security
You are responsible for the confidentiality of your login credentials and all activities carried out through your account. In the event of unauthorised or suspicious access, contact [email protected] immediately.
BandCalendar will not be liable for damages resulting from failure to protect your credentials.
3.3 Team account
Each account belongs to a team. The first user to register is the team administrator and can invite other members. Data entered in the team is shared among all members with authorised access.
Plans and subscriptions
BandCalendar is available in the following plans:

Prices are exclusive of VAT where applicable. BandCalendar reserves the right to change plan prices with at least 30 days' notice. Changes do not apply retroactively to already billed periods.
The storage limit refers to space occupied by uploaded files (documents, photos, audio, video). Structured data in the platform (events, contacts, songs, etc.) does not count towards storage.
Payments and refunds
5.1 Billing
Paid plans are billed on a monthly basis, in advance, via Stripe or PayPal. Renewal occurs automatically at the end of each period unless cancelled.
BandCalendar does not directly store payment data (credit cards, bank details): such data is managed exclusively by certified providers.
5.2 Subscription cancellation
You can cancel your subscription at any time from Settings → Subscription. Cancellation takes effect at the end of the current billing period: you will continue to have access to paid plan features until that date.
After cancellation, the account is downgraded to the Free plan. Data remains accessible; files exceeding the Free plan limit (60 MB) remain in archive but will not be downloadable until storage is within the limit.
5.3 Refunds
Advance payments are non-refundable, unless applicable law provides otherwise. In the event of a significant service malfunction attributable to BandCalendar, we will consider requests for a proportional refund for the documented outage period.

5.4 Failed payment
In the event of a failed payment, we will send a notification by email. If the payment is not settled within 7 days, the account may be downgraded to the Free plan or temporarily suspended until regularised.
User obligations
By using BandCalendar you agree to:
- Provide accurate and up-to-date information during registration
- Use the service in compliance with Italian law and applicable EU law
- Not attempt to access accounts, data or systems of other users
- Not upload illegal, offensive, defamatory content or content that violates third-party rights
- Not use the service for fraudulent activities, spam or to collect third-party data without consent
- Not attempt to compromise the security, availability or integrity of the service (reverse engineering, scraping, DoS attacks, etc.)
- Not resell, sublicense or transfer access to your account to third parties
The user is responsible for all data entered in the platform, including personal data of clients and collaborators. As data controller for such data, the user is required to collect and process it in compliance with the GDPR.
If collaborator operational notifications are enabled, the user is responsible for ensuring that collaborator email addresses are used for a lawful operational purpose consistent with the professional or organisational relationship with those collaborators. The feature must not be used for marketing, newsletters or mass mailing.
User content
7.1 Ownership of content
All content you upload to BandCalendar (documents, photos, audio, video, text, data) remains your exclusive property. We do not claim any intellectual property rights over your content.
7.2 Licence to BandCalendar
By uploading content to the platform, you grant us a limited, non-exclusive licence to store, process and make your content available solely for the purpose of providing the service (e.g. PDF generation, thumbnails, backups). This licence terminates upon deletion of the content or account.
7.3 Prohibited content
It is prohibited to upload or insert into the platform:
- Material that infringes copyright or other intellectual property rights of third parties
- Illegal, obscene, defamatory or hate-inciting content
- Malware, viruses or any harmful code
- Personal data of third parties collected without their consent
BandCalendar reserves the right to remove content that violates these terms without prior notice.
7.4 Data portability
The team owner and team administrators can independently export all team data in JSON format from Settings → Backup → Download Backup. The archive includes events, clients, collaborators, fees and all structured platform data.

Intellectual property
BandCalendar, its logo, design, source code, texts and all other elements of the platform are the exclusive property of BandCalendar and are protected by Italian and European intellectual property laws.
These terms do not grant you any rights over such elements, except for the limited right to use the service as provided in these terms.
It is prohibited to copy, modify, distribute, sell or create derivative works from BandCalendar software or content without our explicit written consent.
Service availability
We strive to ensure maximum service availability, but we do not provide minimum uptime guarantees (SLA) for Free and Basic plans. The service is provided "as is" and "as available".
We may make the service temporarily unavailable for:
- Routine and extraordinary maintenance (with notice where possible)
- Updates and deployment of new versions
- Force majeure (infrastructure failures, unforeseen events)
- Urgent security reasons
Data backups are performed daily. In the event of data loss due to a malfunction attributable to BandCalendar, we commit to restoring from the last available backup.
Limitation of liability
To the maximum extent permitted by applicable law, BandCalendar will not be liable for indirect, incidental, special, consequential or punitive damages, including loss of profits, data or business opportunities, arising from the use or inability to use the service.
Our total liability to any user for any cause will not exceed the amount you paid to BandCalendar in the 12 months preceding the event that caused the damage, or €50 if you have made no payments.
BandCalendar is not responsible for the content of documents, quotes and contracts generated through the platform: the legal responsibility for such documents remains entirely with the user who drafts and uses them.
The above limitations do not apply where Italian law does not permit such exclusion (e.g. wilful misconduct or gross negligence).
Cancellation, withdrawal and suspension
11.1 Voluntary cancellation
You can delete your account at any time from Profile → Danger zone → Delete account permanently. Deletion is immediate and irreversible.
The behaviour varies depending on the role:
- Team owner: the team is dissolved. All members receive a notification email and are automatically moved to a new personal team — their accounts remain active.
- Invited member: the account is deleted along with all associated data (cascade).
Billing data is retained for legal obligations (10 years). All other data is deleted within 30 days.
11.2 Leaving a team
If you are a member of multiple teams, you can leave a specific team without deleting your account from Profile → My teams → Leave. The team owner will receive a notification.
If after leaving the team you are no longer a member of any team, BandCalendar automatically creates a new personal team in your name to keep the account active.
11.3 Suspension by BandCalendar
We reserve the right to suspend or terminate your account, with or without notice, in the following cases:
- Violation of these terms of service
- Fraudulent behaviour or illegal activities
- Unpaid fees not regularised
- Use of the service in a manner that damages other users or the infrastructure
- Request from competent authorities
In the event of suspension for breach of terms, no refund is due for the unused period.
11.4 Service discontinuation
Should BandCalendar cease operations or discontinue the service, we will notify users with at least 90 days' notice and provide tools to export their data. Active subscriptions will be refunded pro-rata for the unused period.
Changes to terms
We reserve the right to modify these terms at any time. Changes will be notified with at least 30 days' notice by email to the registered address and/or via in-app notice.
For substantial changes to paid plans or prices, notice will be at least 30 days and you will have the right to cancel your subscription before changes take effect, without penalty.
Continued use of the service after the effective date of changes constitutes acceptance of the new terms.
Governing law and jurisdiction
These terms are governed by Italian law. For any dispute relating to the interpretation, performance or termination of the contract, the parties agree to attempt an amicable resolution within 30 days of notification of the disagreement.
If no agreement is reached, the exclusive jurisdiction will be the Court of Milan, unless mandatory consumer protection law provides otherwise.
If you are a consumer resident in the EU, you may use the European Online Dispute Resolution platform (ODR): ec.europa.eu/consumers/odr.
